What does an administrative assistant do? – Education and Transformation

One administrative assistant, sometimes called foffice worker, secretary or even receptionist, is someone who performs daily office and organization tasks. They are among the most important employees of an organization, keeping everything running smoothly behind the scenes.

Administrative assistants organize files, draft messages, schedule appointments, and help other employees. While you'll find them working in almost every industry, most are employed in schools, hospitals, government agencies, and medical and legal offices.

What does an administrative assistant do?

Administrative assistants use a computer to create spreadsheets, compose messages, manage databases, and prepare presentations, reports, and documents. They can also negotiate with suppliers, purchase supplies, manage warehouses or corporate libraries, and obtain data from multiple sources. Job-specific duties vary by experience, title, and specialty.

The job of an administrative assistant generally involves the following:

  • Maintain paper and electronic filing systems for records and messages
  • Forward and distribute incoming emails and emails
  • Respond to routine letters and email
  • Reply and attach files to incoming messages
  • Correct spelling and grammar to ensure accuracy
  • Operate fax machines, video conferencing and telephone systems and other office equipment
  • Use computers for spreadsheet, word processing, database management and other applications
  • Fill out forms according to company procedures

While administrative assistants work in nearly every industry, many are concentrated in schools, hospitals, government agencies, and legal and medical offices. Most work full-time in comfortable office environments. Virtual assistants typically work from a home office.
